About Visitation Academy

Visitation Academy is an independent Catholic school offering a coeducational Montessori program in Grades Toddler through Kindergarten and an all-girl environment in Grades 1 through 12. Visitation Academy is the ministry of the Sisters of the Visitation, whose way of life expresses the spirituality of the founders of their Order, St. Francis de Sales and St. Jane de Chantal. These saints encouraged all to “Live Jesus” with optimism, gentleness, humility, joy, and liberty of spirit. “Live Jesus” illustrates the essence of the Visitation charism.

 

Mission of the Office of Mission Integration

The Office of Mission Integration exists to ensure that all members of the Visitation community can embody the charism and spirituality of the Sisters of the Visitation of the Heart of Mary in their personal and professional lives as they pursue the mission of the Academy. Through heart-to-heart relationships, formation, and archival work the Department seeks to bring to life the mission of the Academy.

 

Job Overview: The Part-Time Assistant to the Dean of Mission Integration is responsible for providing administrative and practical support, supporting event planning and project coordination, and managing expenses in accordance with the budget.

 

Supervisor: The Part-Time Assistant to the Dean of Mission Integration is hired by and reports directly to the Dean of Mission Integration.

 

Requirements: Practicing Catholic, bachelor’s degree, with previous administrative experience. Previous ministry experience preferred. Hard-working, organized, tech savvy, and mission-focused individual.

 

Competencies: Attention to detail and organizational skills. Experience in project management and event planning. Computer proficiency in Microsoft Office Suite, particularly Excel, Google

Suite, and Adobe. Ability to work independently on projects. Proven proficiency in effectively managing complex tasks and prioritizing. Excellent oral communication skills and written communication skills, with a clear, concise writing style. Ability to collaborate with multiple stakeholders. Ability to maintain highest standards of professional ethics and confidentiality.

 

Hours: Position is year-round at 19 hours a week, with flexibility in scheduling, and requires occasional nights and weekends.

 

Essential Functions:

 

1. Provides administrative and practical support for the activities of the Office.

· Responsible for administrative tasks for all faith formation plans and programs for faculty, staff, administration, parents, past-parents, and alumnae, in line with the formation framework.

· Maintains supplies in the Chapel, coordinates liturgical presiders, and responsible for overall maintenance of the Chapel, including coordinating repairs and cleaning with Facilities.

· Serves as administrative support for the Salesian Adult Leadership Team (SALT), Companions of the Heart (Local VSN), the Visitation Heart and Mind Ministry (VHMM), and the VHMM Advisory Committee.

· Provides general administrative support to the Dean of Mission Integration.

 

2. Supports event planning and project coordination for the Office.

· Coordinates logistics for Masses and liturgies such as Community Masses and Mother-Daughter Masses and Retreats, etc.

· Coordinates logistics for pilgrimages to Visitation sites in St. Louis, Illinois, and France.

· Facilitates implementation of VSN evaluation process.

 

3. Manages expenses of the Office in accordance with the budget.

· Tracks spending of the Office and provides regular updates to the Director on budget spending.

· Coordinates with Business Office for payment of invoices, check requests, etc.
