Coordinator of Events St. John Vianney High School

Position Summary:

This position reports to the Director of Advancement and serves on the school’s Advancement Leadership Team. The Coordinator’s role centers on creating a welcoming atmosphere for guests and volunteers, while also delivering the organizational support necessary to reach event goals. This position is responsible for managing the administrative and logistical aspects of all philanthropic events for St. John Vianney High School. He or she will collaborate with the Director of Advancement to develop strategies and implement tactics that will provide quality services to the Vianney community while increasing philanthropic support from key constituencies.

Specific Responsibilities:

  1. Oversee all aspects of the Night of the Griffin Dinner & Auction, which includes recruiting the auction team, securing individual and corporate sponsorships, soliciting auction items, procuring tickets sales and other event specific solicitations.
  2. Plan, organize and implement the following Vianney events, including, but not limited to: Homecoming, Hall of Fame, President’s Reception, Parent Happy Hours, Incoming Parent Welcome Event and other events as needed.
  3. Work with the Advancement team to identify potential sponsors and donors for specific events, Field House scoreboard and general support.
  4. Recruit, train and supervise volunteers to assist with the implementation of events.
  5. Support the Advancement team in designing and delivering effective stewardship activities, with an emphasis on donors involved in events.
  6. Create an event budget for each event as well as document event procedures.
  7. Other duties as assigned and as a member of the Advancement Team.

Desired Qualifications:

  • Bachelor’s degree required
  • Experience in special event coordination and financial goal setting required.
  • Experience in identifying, training and motivating volunteers.
  • Excellent oral and written communications skills.
  • Ability to work independently with minimal supervision.
  • Ability to represent the school to external constituents and work effectively with internal constituents across all levels.
  • Computer skills, including Google Suite, Microsoft Office programs (Word, Excel); experience with Raiser’s Edge donor software or similar fundraising software and Auction software a plus.
  • Excellent organization and time management skills, with the ability to manage multiple projects.
  • Excellent interpersonal skills and the ability to work in a team-oriented environment.
  • This position requires the ability to frequently stand, walk and sit and may require lifting and moving objects up to 25 pounds.
  • This position follows a 32-hour, four-day in-office schedule, with evening and weekend hours as needed.
