JOB DESCRIPTION:  Admissions and Administrative Assistant

The Admissions and Administrative Assistant assists the Director of Admissions in carrying out the plan for attraction of prospective students, collecting necessary admissions applications and supportive materials and carrying out the admissions marketing program, as set forth in further detail below.  This position directly supports the Director of Admissions in planning, coordinating, and executing all aspects of the admissions and enrollment processes.  In collaboration with the Director of Admissions, this position develops and executes a strategic plan for student recruitment, admission processes, and enrollment, manages and coordinates student ambassadors and volunteers, and develops and maintains relationships with feeder school and feeder school staff with impact on admissions.  In addition, as Administrative Assistant, this position supports the Advancement team as requested and performs other duties as assigned by the President. 

The Admissions Assistant’s specific primary responsibilities are the following:

  • Maintains and curates the Admissions page on the website.
  • Supports the Director of Admissions with strategic initiatives, student recruitment, and enrollment processes, including the collection of application materials.
  • Manages student records in the Finalsite enrollment management platform and Google tools; assists families to ensure files are complete.
  • Under the supervision of the Director of Admissions, develops and manages a robust and enthusiastic student ambassador program, including recruitment and coordination of Student Ambassadors and all admissions-related volunteers.
  • Promotes economic, geographical, racial, and ethnic diversity in the student body through outreach and inclusive practices.
  • Under the supervision of the Director of Admissions and in cooperation with the Events Manager and the Advancement team, coordinates tours, shadow/shine days, high school nights, new student orientations, open houses, and all admissions-related events.
  • Assists with community outreach, including visiting K-8 schools, attending events, and representing the school at external events and partner locations.
  • Maintains responsive and positive communication with prospective students and families via e-mail, phone, and other communications, providing exemplary customer service. Elevates inquiries to the Director of Admissions as needed.
  • Builds positive relationships with faculty and staff, students, families, vendors, and other stakeholders while representing the mission and values of the school.
  • Commits to studying, learning, and adopting best practices and trends in both admissions and marketing.
  • Performs other duties as assigned by the Director of Admissions and the President.
  • In addition, the Administrative Assistant is a key member of the overall school team and performs administrative duties as assigned by the President. This role directly supports the President and other team members, particularly Advancement team members, in carrying out the administrative portions of their responsibilities. 

JOB QUALIFICATIONS:

  • Bachelor degree or equivalent experience.
  • Extensive and strong organizational skills.
  • Proficiency with computer-based data systems and websites.
  • Proficiency in using Microsoft Office applications and Adobe Acrobat.
  • Commitment to utilizing and supporting diverse, inclusive, and innovative curriculum.
  • Possesses an ability to work in, embrace, and meet the needs of a diverse school community of students, families, faculty/staff, and alumnae.
  • Strong verbal and written communication skills.
