Advancement Coordinator Ursuline Academy
Ursuline Academy is a private, all-girls high school deeply rooted in Catholic values and inspired by the charism of St. Angela Merici. The Advancement Coordinator provides essential operational, administrative, and event support to advance the fundraising, engagement, and stewardship goals of Ursuline Academy. This collaborative, service oriented role helps ensure the successful execution of advancement initiatives through strong organization, hospitality, volunteer support, and attention to detail. The Advancement Coordinator works closely with the Advancement team, volunteers, school leadership, and the Board of Trustees, reporting directly to the Director of Advancement.

Faith and Mission

Supports and promotes the Catholic identity and mission of Ursuline Academy.

Models the values and mission of the Academy in all interactions.
Advancement Support

Provides administrative and logistical support for advancement initiatives, projects, and events.

Assists with the planning and execution of key advancement events, including Grandparents Day (September/October), the Annual Auction (February), and the Annual Golf Classic (April/May), including implementing registration, hospitality, communications, volunteer support, event logistics, budgets, and stewardship activities.

Supports auction volunteer leadership by hosting committee activities, monitoring progress toward goals, maintaining timelines, and assisting with budget preparation and tracking in collaboration with the Director of Advancement.

Provides logistical support to parent engagement organizations, including Bear Moms and Fathers’ Club, for on- and off-campus activities.

Collaborates with the Advancement team and volunteers to identify sponsors, donor prospects, and community resources.

Assists with donor initiatives throughout the year, including recognition/stewardship efforts, and engagement activities, with particular attention to event participants and volunteers.

Serves as backup support for gift entry, acknowledgment letters, data management projects, and database-related tasks.
Administrative Support

Provides administrative support to the Board of Trustees, including:

Coordinating communications and materials for board and committee members

Arranging logistics for quarterly board meetings

Recording and maintaining accurate board minutes and records

Managing the board portal and related documentation

Assists the President and Director of Advancement with administrative tasks and special projects as requested.

Performs other duties as assigned.
Qualifications

Bachelor’s degree or equivalent experience.

Experience supporting special events, projects, or fundraising initiatives.

Strong organizational skills with the ability to manage multiple priorities and deadlines.

Ability to work collaboratively with volunteers, donors, colleagues, and community members.

Self-starter with the ability to work proactively.

Customer-service mindset with excellent interpersonal skills.

Excellent written and verbal communication abilities.

Proficiency with databases, spreadsheets, and office technology.

Ability to adjust schedule to meet school needs, including some evenings and weekends.
Physical Demands
This position requires the ability to frequently stand, walk, and sit; occasionally bend, stoop, and reach; and may require lifting and moving objects up to 25 pounds.
